Subject: Third Annual MAPPA Big 10 + Friends IT Managers Conference



The third annual MAPPA Big 10 + Friends IT Managers Conference will be held
on June 6th, 7th and 8th at the University of Illinois, Urbana-Champaign
campus.  The purpose of this conference is to provide a forum for the
exchange of knowledge, ideas and experience among Physical Plant and
Facilities Management Information Technology personnel.
The majority of the presentations have been developed by physical plant IT
and management professionals based on their real-life experiences. Enclosed
you will find a brochure describing the conference sessions and a brief
survey regarding your physical plant/facilities management IT organization.
The findings of this survey will be discussed at one of the conference
sessions.
If you are unable to attend or the subject matter of this conference is
better suited to another member of your organization, please forward this
invitation to the appropriate members of your organization for their
consideration.

General Sessions:

1.  ERP (Enterprise Resource Planning)
University of Illinois
Enterprise Resource Planning projects are typically huge undertakings that
focus on radical process reengineering and information systems integration.
ERP's are equivalent in scope and complexity to MRP (Manufacturing Resource
Planning) systems.  ERP's promise breakthrough improvements but are very
expensive and are at high risk of failure.  The University of Illinois is
undertaking the selection and implementation of an ERP system that will
serve all three campuses.  This session will provide an overview of the
scope of the project, strategies, expected benefits, justification,
selection processes, planning, and current status.

2.  IT Organizational Comparisons
Moderated by University of Wisconsin
Some of the most interesting and informative informal discussions during our

past two conferences have been gaining some understanding of the
similarities and differences between our IT organizations.  The purpose of
this session will be to compare and contrast each of our IT organizations in

terms of reporting lines, budgets, FTE, roles, scope of technologies and
applications supported, levels of support, training, and functional
responsibilities.

Break-out Sessions:

A.      Implementation of a CMMS
University of Illinois, Urbana-Champaign
The University of Illinois has successfully implemented an integrated CMMS
over the past seven years.  This session will provide an overview of the
entire process including selection, specification, modifications,
implementation strategies, re-implementation of critical functions,
development of paperless reporting methods, addition of entire new
functions, and the addition of a graphical user interface.

B.      Project "Leap-Frog"
Purdue University
Most highly integrated CMMS packages are lacking in best-in-class
functionality, while most best-in-class packages are lacking in integration
due to their limited scope. This session looks at approaching the
implementation of an integrated maintenance management system by selecting
multiple best-in-class, off-the-shelf, software packages, and employing the
services of a Systems Integrator to develop integration between the
packages.

C.      Network Management
University of Illinois
Managing a LAN from the ground up -- a case study presentation of LAN
administration at the University of Illinois at Urbana-Champaign, Operation
& Maintenance Division.  This presentation will discuss all of the aspects
of the O&M LAN, including infrastructure, hardware, software, staffing and
training.  The format will be that of a case study, so participants are
encouraged to bring suggestions and their own stories from the front.

D.      Procurement Card Implementations
Panel Discussion
P-Cards (Procurement Cards) have become a common method for reducing
procurement costs and paperwork in business and government.  A "P-Card" is
usually a VISA or MasterCard that is issued in the name of an individual
employee but the employer is billed directly for purchases. While P-Cards
can significantly reduce administrative overhead and costs, they raise
control issues and pose challenges in the administration of the cards and
accounts.  This session will be a panel discussion highlighting some of the
advantages and pit-falls of using P-Cards in a University physical plant
environment.

E.      Document/Image Archiving
Miami University
Do you have drawings and documents that you would like available to your
employees and customers?  Are you worried about sharing and/or damaging
originals.  Miami University is currently in the process of scanning 30,000
drawings covering almost 200 years.  We are also scanning project
specifications.  All of the documents are then made available through any
Java enabled browser.  See a live demonstration of the document search
engine and retrieval.

F.      Systems Administration and Development
Panel Discussion
Panel discussion of software and hardware support and maintenance issues
among physical plants that develop and support their own core maintenance
management applications versus those who depend on vendors or central IS
organizations for support. Pro's and con's of each approach.

G.      AEC Implementation
Panel Discussion
Discussion among the Universities that have implemented or are currently
implementing AEC.  The discussion will include implementation planning and
strategies, implementation difficulties, systems and end-user training,
product strengths and weaknesses, how the product has affected business
procedures and rules, modifications to base-line product, and current status

of the implementation at each institution.

H.      Re-Facing a Legacy Database
University of Illinois, Urbana-Champaign
Re-facing is a common approach for extending the life and enhancing the
usability of legacy systems and databases.  This session will describe the
addition of a GUI to an Oracle database using Oracle's Developer/2000. The
application currently includes about 90 screens that allow users to query on

nearly any fields and to update some fields.  The application utilizes a
context-sensitive navigation scheme that closely resembles the database E-R
model allowing users to navigate from their current data context to related
data with a single mouse click.  It also allows users to export data to
EXCEL with a single mouse click.

I.      Embedded Systems Testing for Y2K
Purdue University
Focus on power plant systems.  Discussion of Y2K issues in particular those
related to (but not limited to) embedded systems used in power plant
operations.

J.      Paperless Reporting
University of Illinois, Urbana-Champaign
Nearly all paper-based reporting has been eliminated through the addition of

static and dynamic www pages, automated generation of e-mail notifications,
and data-event driven e-mail notifications.  This session will focus on the
strategies, technologies and methods that were used to accomplish
"paperless" (or at least "less paper") reporting.
