Subject: admissions committee meeting


Dear admissions committee members:

First, thank you for agreeing to serve on the Graduate Admissions committee this year.  This is important work that must be done in a fairly short span of time, and I and the whole graduate faculty truly appreciate your work.

I would like to schedule a meeting for either later this week or early next week to discuss the admissions process. If you are familiar with the process, and the meeting times do not fit in your schedule, it is not essential that you attend. Based on everyone's teaching schedules, the most promising times seem to be:
Thursday, January 26 at 9:30 am
Monday, January 30 at 9:30 am
Monday, January 30 at 4 pm
Tuesday, January 31 at 9:30 am

Please let me know which of the above times will work best for you.

I will be meeting with Dean Callahan soon to firm up the number of lines we have, but they will likely be similar to the lines available last year.

Timeline and Process:
Tuesday, Jan. 24:  Start reading
Our deadline for submissions was Jan. 17, but because of the holiday, we will accept admissions coming in this week. Many more of the applications are missing one or two documents and will be added to the folders once the application is complete. The files will be kept in the filing cabinets across from Monica's office.  Please remember to sign them out and to return them in a timely fashion so that others can have access to them.

Please remember to fill in all the boxes of the evaluation sheet and especially the ratings numbers at the bottom. Make a copy of this sheet to keep for yourself and return the filled in sheet to the file folder, so that Monica can record it.  Also, it's wise to remember that these evaluation sheets are public records, so keep comments brief, collegial, and to the point.

If two readers find an application clearly unacceptable, please tag it with a protruding sticky note to save other readers the trouble of reading the file.  I'll give these a quick third reading.

Please note (keep a list) of likely Academic Achievement Award nominees (one from each cohort) and Dean's Scholar nominees, and especially DEP (diversity) candidates.  Remember that we can get an extra line from DEP-matched candidates, and this year that might be crucial. However, also remember that DEP's for MAs are only for one year and for PhDs 2 years total so that any students we admit with DEPs will need to be funded from our own lines afterward.

Cohort Decisions and Final Decision Meeting, Week of Feb. 27:
Please schedule your cohort meeting to decide your rankings before by Monday, February 27.  I will schedule our joint meeting for final decisions for M, T, or W that week, to give those writing nomination letters at least a day.  Remember, AAA nominations have to be in by Friday, March 2.

I think those are the major points to remember.  Again, please let me know when you can meet.
