PRESIDENTS: Please take the time to pass the following letter to your organization's members!

To Whom It May Concern,
        We are reaching out to you and your organizations for students who would like to help plan the 2009 Charter Day Ball. Allow us to introduce ourselves; we are members of the Shriver Center Program Board and Campus Activities Council and will be the co-chairs for the upcoming Charter Day Ball. The event is extremely important to not only the university but to student organizations as well. Program Board and CAC fought to keep the event a student run gala rather than turning the responsibility and creativity to the administration. Participating in the planning is an honor and this is a great opportunity for students to help coordinate a huge event on campus.
        The Charter Day Ball takes place every three years to celebrate the signing of Miami’s Charter.  Because the Ball will take place in 2009, the gala will kick off the year long bicentennial celebration. This event will be the largest student run event in the history of Miami University. Over 3500 people will be in attendance at the ball, including alumni, Miami faculty and students. The budget for the event will exceed any other Miami student run event allowing for students to make the ball more magnificent than before.  The ball will be held in Millett hall where the students will completely transform the arena into an elegant, unpredictable setting.
        Again, we would like to reach out and get as many students involved as possible. There will be four committees in which the students can join: PR, decorations, event staff and entertainment. PR will be responsible for promoting the event, ensuring that the entire student body is aware of the ball. Decorations will work with a planner to transform Millet, from floral arrangements to the floor layout. Event staff will work on the logistics of the day, ticket sales and food. Lastly, entertainment will work on finding the right sound for the night and creating a slide show to celebrate two hundred years of Miami tradition. We would like to invite your members to apply for a position on a committee of one of the largest events in the history of Miami.
        Please take the time to pass this letter on to your members, and to address the ball at your meetings.
