Assistant Librarian
      Duke University Medical Center Archives and Memorabilia
      Working Title: Assistant Director of Archives and Head of Technical
Services

Occupational Summary:

The Duke University Medical Center (DUMC) Archives acquires, preserves, and
makes accessible Medical Center records with permanent historical and
research value.  Develops and implements departmental policies and
procedures for accessioning and processing according to national and local
standards. Additional responsibilities include management authority for
DUMC Archives’ projects, assisting the Director of the DUMC Archives with
collection development, serving as a liaison to Medical Center offices and
officials as needed, managing the Department’s supplies and supply budget,
and supervising student assistants and project staff.  Responsible for the
management of Archives in the absence of the director.  Reports to the
Director of the Medical Center Archives.


General Duties:


    Collections Management (20%)
·     Manages the initial processing of incoming archive and manuscript
collections
·     Screens new accessions for student and patient records (must
recognize and restrict confidential information according to the FERPA,
HIPAA, and Medical Center policies on access to records;)
·     Analyzes acquisitioned materials at a basic level to determine their
organization, preservation, and description needs;
·     Works with Director to address urgent preservation needs
·     Works with the Director and the Librarian for Research, Outreach, and
Education to disseminate information about new accessions and newly
processed collections to Library staff and the general public.
    Collections Processing (20%)
·     Directs processing of archive, manuscript, and oral history
collections
·     Trains, supervises, and monitors work performance of student interns
and co-workers doing processing projects
·     Prepares descriptive tools for preliminary inventories and completed
finding aids for collections.
    Encoding and Cataloging (20%)
·     Serves as the Departmental leader in Encoded Archival Description
(EAD) theory and implementation
·     Works cooperatively with Technical Services staff of the University
Archives and the Rare Book, Manuscript, and Special Collections Library
(RBMSCL) in developing local, state, and regional procedures for encoding
finding aids in EAD
·     Trains and supervises student interns and co-workers in EAD
implementation
·     Develops controlled vocabularies and catalogs digital repository
projects.
·     Works with the Head of Cataloging (DUMC Library) to implement
original cataloging of archival, manuscript, and oral history collections
in Duke University OPAC.
    Project management Leadership (20%)
·     Serves as the Departmental project management resource providing
oversight, input, and feedback on proposed projects
·     Assist co-workers in developing project visions, goals, and
objectives
·     Works with Director to obtain resources needed to complete projects
·     Assist project directors in establishing realistic goals, time-lines,
benchmarks, and expectations
·     Provides feedback on completed projects.
     Collection Development (15%)
·     Works with Director to visit individual departments and offices to
discuss records management and Archives’ services
·     Work with Director to identify, contact, and solicit private
manuscript collections of notable DUMC/DUHS individuals
·     Serves as records management resource for Medical Center offices,
departments, and programs.
     Budgetary Duties (5%)
·     Plans and manages departmental supply budget
·     Monitors supply and other resource usage
·     Monitors departmental inventory and order supplies as necessary.

         Qualifications
      Education
Master's degree in Library or Information Science,  Information Science,
Archival Management, Pubic History and/or advanced degree in appropriate
subject field.

      Experience

Required: Knowledge of standard archival procedures, APPM, MARC cataloging,
Medical Subject Headings, Library of Congress Subject Headings, and Encoded
Archival Description; familiarity and comfort with the Internet,
microcomputers, and word processing, spreadsheet, and database software.;
familiarity with project management tools and procedures.



Preferred: Work experience in an archives/manuscript environment and/or
direct experience in two or more of the required skills, including archival
field work or internships. Five years of progressive project management
experience.


Specific Skills/Knowledge
Required: Demonstrated knowledge of and interest in medical history;
ability to work effectively in a team environment; ability to lift 40
pounds; ability to work in an environment in which exposure to materials
containing dust and mold is possible; and ability to communicate
effectively with users and donors.
Preferred: Knowledge of health sciences information resources, familiarity
with health sciences disciplines, and a broad understanding of trends in
academic medical libraries.

Salary

Salary is dependent on qualifications and experience. Minimum: $37,863.
